DANA B. KENYON COMPANY (DBK) BIDDING INSTRUCTIONS

 The following is a list of instructions to follow when bidding projects with Dana B. Kenyon Company.

 

INVITATION TO BID FORM

  • The Invitation to Bid (ITB) was sent to you to invite you to submit a bid to DBK for the project listed on the Invitation to Bid.  Please fill out the bid status part of the ITB and return with your bid status ASAP so that we can update the project bid list accordingly.
  • If your ITB is not returned with your bid status, DBK will assume that there is a possibility that you will submit a bid for the project and will continue to send correspondence related to the project.
  • DO NOT CONTACT OWNER, ARCHITECT OR ENGINEER FOR PLANS OR SCOPE QUESTIONS.  ALL QUESTIONS ABOUT THE PROJECT ARE TO BE SUBMITTED TO DBK VIA EMAIL TO dgillette@dbkenyon.com OR PROJECT ESTIMATOR.

BID FORM

  • All bids are to be submitted on your company letterhead along with our Confidential DBK Bid Form. The Bid Form MUST be submitted with your bid.
  • If you need a Bid Form for your scope of work, please print from the Bid Documents link.  Please fill out all items pertaining to your scope of work and return ALL PAGES of the Bid Form.
  • These bid forms are confidential and are not to be shared with anyone.
  • Bids received without the proper DBK Bid Form may be rejected.

BID DOCUMENTS

  • All documents associated with this project are posted to our website.  It is the responsibility of all suppliers and subcontractors to visit the website periodically and to view all bid documents including addenda, RFI's, Clarifications, etc before submitting a bid.  All documents must be acknowledged on the DBK Bid Form.
  • Bid documents may be viewed in our DBK Plan Room.  They may also be ordered from Florida Blueprint Service at 904-388-7686 or ordered from our online ordering system. Bid documents ordered from Florida Blueprint and our online ordering system will be sent and billed directly to you from Florida Blueprint Service.

SCOPE QUESTIONS

BID SUBMISSION

  • Please submit your quote by the DBK established bid date and time.
  • Bids are to be sent via one of the following methods:

    Bid Fax – 904-224-2465

    Bid Email - bid@dbkenyon.com (attachments only - correspondence written in the body of an email can not be printed)

  • Please do not send bids to personal email addresses or personal fax numbers as there may be occasions when a DBK associate will be out of the office or unable to check their emails or personal faxes.  Sending bids via one of the methods listed above will ensure your bid is accepted in a timely manner.

SUBCONTRACTOR PRE-QUALIFICATION

  • A Vendor Qualification Form is required from all subcontractors in order to have your bid to DBK considered.  An on-line Vendor Qualification Form is available on our website at www.dbkenyon.com - Projects Bidding Tab in each project documents. When filling out the VQF, do not leave any blanks.

INSURANCE REQUIREMENTS

  • All projects have insurance requirements specifically related to the project. A sample insurance certificate is attached to the Invitation to Bid and is also posted on our website.  If you have any concerns about meeting the requirements, please contact our office.

BONDING

  • While some projects may not require a subcontractor to be bonded, DBK requires that you demonstrate the ability to provide a Performance & Payment Bond by furnishing a letter or email from your bonding company stating your company's ability to secure bonding for this project.  The bonding letter or email must be submitted by the bid due date and time (earlier is preferred).
